Administrative Construction Assistant

IMMEDIATE OPENING


Administrative Construction Assistant for Design-Construction Department

 

JOB REQUIREMENTS

MINIMUM of 5-years of experience working as a professional administrative support role required; prior work experience in the Architecture, Interior Design or Construction/Remodelling/New Home Build industry is required.

We are a Richardson Texas based integrated architecture and interior design firm of design professionals that provide turn-keyed design-build and construction services for new home build, residential remodeling and commercial, residential and office environments.

 

KEY RESPONSIBILITIES

  • Open up office each business day at 8 AM
  • Miscellaneous clerical duties
  • Coordinating paper flow including lien waivers, award letters and contracts for construction and contracting services
  • Modifying AIA construction forms for contracts, lien waivers and warranties
  • Expediting and Issuing PO’s for Specifications, change order processing.
  • Making multi-document corrections.
  • Formatting, updating and organization of documents related to architecture and interior design.
  • Assisting in coordination of project procedures including formatting and document modification standards.
  • Follow up on billing client retainers and coordinating with team-bookkeeper.
  • Assist with AR/AP – coordinate with team-bookkeeper

  • Order office supplies and run items to UPS/Post master
  • Create Agenda Items and prepare weekly meeting invites.

  • Process and coordinate weekly PM and CA-CM time sheets and draw reports for team-bookkeeper
  • Post daily-weekly images on social media platforms
  • Coordinate images and marketing materials
  • Qualify new client (incoming leads)
  • Submit/Review design and/or design/construction proposals
  • Handbook and Processes updates and develop new procedures
  • Run sub-contractor time-sheets weekly to pay project managers


PREFERRED QUALIFICATIONS

  • Strong computer skills in Word, Excel, PowerPoint and Quick-books
  • Must be highly organized and able to multi-task, re-prioritize tasks, pivot daily goals as needed, and an effective problem solver in a busy office environment.
  • Excellent written and oral communications; follow-up and self-direction.
  • High school diploma or equal experience to education will be considered
  • 5-years of office administration in residential construction or design/architecture firm required.

 

Schedule Options:

Monday – Friday 8:00 am – 3:00 pm (with 1-hour lunch)

or

Monday – Friday 8:00 am – 2:00 pm (with 30-min lunch)

 

This is not a hybrid or remote position.

I am currently a student from Berkner High School and I had the opportunity to intern at an architecture, interior design, engineering and a design-build firm. When I found DB, we had just bought our first home - a 1920's fixer upper in desperate need of some TLC. Finding the right GC for the job was difficult; I watch too much HGTV.... Needless to say, I felt a certain sense of relief after my consultation and walkthrough with their rep. I knew I had found the GC of my dreams.
